Getting started with PGBILL
This guide walks you through your first day with PGBILL — from creating an account to sending your first professional PDF bill. It takes about ten minutes.
1. Create your account
- Open pgbill.in in Chrome, or install the PGBILL app on your Android phone.
- Tap Continue with Google for the fastest sign-in, or create an account with your email and a password.
- The same account works on the website and the app, so you can enter data on the laptop at the studio and check it on the phone at the venue.
2. Set up your studio profile
Go to Profile → Studio details and fill in your studio name, owner name, phone number, address, Instagram handle and WhatsApp number. Upload your logo. These details are printed at the top of every PDF bill, and your Instagram and WhatsApp appear as clickable links so clients can reach you directly from the bill.
Tip: choose a theme colour you like — PDF tables use the same colour for a consistent brand look.
3. Add your first client booking
- From the dashboard open Clients and tap New Booking.
- Enter the client's name, phone number and address. On the phone you can pick the number straight from your contacts.
- Add each function of the event with its date, venue and the work required (photo, video, drone, album and so on).
- Enter the package amount or build a custom bill item by item. PGBILL totals everything for you.
- Record the advance received. The pending amount is calculated and shown on the client list.
4. Use the calendar every day
Every function you add shows up on the Calendar. Before accepting a new booking, open the date and check what is already booked. Each morning, open Today Work to see the day's jobs, venues and team. Allow notifications so PGBILL can remind you before each job.
5. Record payments as they come
Whenever a client pays, open the booking and add the payment with the date and mode (cash, UPI or bank). The pending amount updates immediately. For money you give or receive outside bookings — lab bills, album printers, assistants — use Payment Khata. Record rent, fuel and repairs in Studio Expenses so your monthly report is complete.
6. Share a professional PDF bill
- Open any booking and tap the PDF button.
- PGBILL creates a bill with your logo, studio details, the full list of functions, amounts, advance and pending balance.
- Share it on WhatsApp or email, or save it to your phone.
7. Other modules you will love
- Exposing: track shoots you do for other studios and what they owe you.
- Operating: track freelancers you hire and what you owe them.
- Camera accessory rent: rent equipment with deposit and return dates.
- Reels booking and Pre-wedding: dedicated bookings and invoices.
- Business analysis: monthly and yearly income, pending and expense reports.
Each module has a short built-in tutorial. Open Profile → Tutorial any time to replay it.
8. Keep your data safe
Stay signed in with an internet connection from time to time so your data is backed up to your account. If you change phones, just sign in on the new phone — your records come back automatically. Deleted entries stay in the Recycle Bin for 30 days in case you remove something by mistake.
